How to set setup memberships so customers can renew, how to process membership renewals and how to end membership renewals and release the remaining seats to the public.

 

How to set up membership renewals

1. Create a membership

If you need a reminder on how to set up a membership, you can refer to our how to guide for memberships 

** Note: You will need to set up your events and season before you can create a membership

 

When setting up your new membership, you need to select a previous membership to link the two memberships together. 

 

2. Set the end date of the previous membership to be in the future

The date of the previous membership needs to end in the future for membership renewals to occur. 

EG: Today's date is 27/04/24, so we set the date for the previous 2024 membership to end 10/08/2024. This means members can renew their membership for the 2025 season until 10/08/2024.

Once you have linked up the two memberships, and made the date of the previous membership in the future, memberships will be available to renew. 

 

It is recommended to send a broadcast email to previous season members informing them that membership renewals are now available. In the email, you can include a direct link for easy renewal.

 


How to Renew a Membership

 

Customers can renew their membership themselves through the customer portal. 

Alternatively, you can renew a customer's membership from their customer profile. 

 

1. Search for the customer in the customer's tab

2. Go to their memberships tab and select 'Renew Membership'

3. Select the memberships/seats they wish to renew and select 'Renew selected memberships'

**Note: If no memberships are coming up on this page, this means the date of the previous membership is in the past. You will need to extend the date of the previous membership to the future to allow members to renew. 

 

4. Select the membership type for each seat then select 'renew memberships'

**Note: If it comes up with 'no options' when you are trying to select the membership type, this means that the zone is not live or the price has not been entered in this section for the upcoming membership.

5. Complete the order by filling in the buyer information and payment screens. 

 


How to end membership renewals and release all remaining seats

 

Once you are comfortable most members have renewed and you want to release the remaining seats to the public you can turn off membership renewals. 

To do so, all you need to do is change the date on the previous membership so it ends in the past. The will turn off the membership renewal function. 

 

To release the remaining seats back to the public, you will need to go through each customer individually and release their memberships. 

- Select 'Release membership' in the customer's membership tab

- Select the memberships you want to release and select 'Release selected memberships'

These seats will now be available for the public to purchase for the upcoming season.
